How to Choose the Right AI Automation Vendor in India

With hundreds of AI companies claiming to transform your business, how do you separate serious partners from flashy sales decks? Here's the 7-point checklist every Indian business owner should use.

Do They Have India-Specific Experience?

Indian business workflows are different — GST compliance, WhatsApp-first communication, vernacular languages, rural connectivity, and the unique tempo of Indian sales cycles. A vendor with only Western client case studies will struggle. Ask specifically: how many Indian clients, in which industries, in which cities?

Can They Show You a Working Demo, Not a Slide?

Any serious AI vendor should be able to show you a live WhatsApp bot demo in the first meeting — not a PowerPoint about AI capabilities. If they can't demonstrate actual working automation in 30 minutes, that tells you something important about their execution capability.

What Is the Actual Implementation Timeline?

Be very specific about timelines. "We'll get started right away" means nothing. A trustworthy vendor gives you week-by-week milestones: Week 1 discovery, Week 2 build, Week 3 testing, Week 4 go-live. If they can't commit to a 30-day timeline for a WhatsApp bot, ask why not.

Do They Offer Ongoing Support or Just Setup?

AI systems require maintenance — WhatsApp API policies change, your products and prices update, new query types emerge. Ask explicitly what happens after go-live. You want a vendor who monitors performance, makes improvements, and is reachable when something goes wrong — not one who disappears after the invoice is paid.

Are the Costs Transparent?

Watch out for vendors who quote a low setup fee but hide ongoing per-message costs, API charges, and maintenance fees. Get a complete cost picture: setup cost, monthly platform cost, WhatsApp API costs (per message), and support costs. Total cost of ownership over 12 months is what matters.

Can They Integrate with Your Existing Systems?

If you're already using Zoho, Tally, Busy, or any ERP, your AI system should connect to it — not create a parallel data island. Ask specifically which integrations they've done before and whether they can connect to your specific software stack without a 6-month custom development project.

Do They Measure and Report on Results?

A serious AI partner should tell you what metrics will improve, by how much, and give you a dashboard to verify it. If a vendor can't define what success looks like in week 1, they won't be accountable for it in month 6. Insist on measurable KPIs — response time, lead conversion rate, volume handled — before signing anything.
