Ask a sales team how fast they reply to a new enquiry and you will hear "immediately". Pull the timestamps and the median is usually somewhere between forty minutes and the next working day. The gap between those two answers is where a surprising share of revenue goes missing.
Why the first minute matters
A person who has just filled in a form or sent a WhatsApp message is, for a few minutes, fully focused on the thing they asked about. They have the tab open. They have the question in their head. They have not yet messaged your competitor. Reply inside that window and you are having a conversation; reply an hour later and you are interrupting someone who has moved on. The lead has not changed, but its state has.
What a slow reply actually costs
Studies of lead response time have found the same thing for years: enquiries answered within minutes convert at a multiple of the rate of enquiries answered the next day, and the effect is strongest on the highest-intent channels, WhatsApp above all. The cost is invisible because nobody logs the leads that quietly went elsewhere. The only way to see it is to measure reply time on every channel for a month and then look at conversion by bucket.
Why humans cannot fix this on their own
Most enquiries arrive outside the hours when anyone is watching: evenings, weekends, during a site visit, while the one person who handles enquiries is on another call. A rota helps at the margins. It does not change the fact that the demand curve and the staffing curve do not line up, and that the mismatch is worst exactly when your best prospects are free to browse.
The always-on layer
This is the narrow, unglamorous job an AI agent is genuinely good at. It answers in seconds, in the customer's language, with the actual answers to the actual questions: price, availability, location, next steps. It captures the name, number and requirement, and it pushes the lead to a phone within about a minute so a human can take over while the prospect is still warm. It does not replace the salesperson. It makes sure the salesperson gets to talk to the lead at all.
Three things to check this week
First, export your last hundred enquiries with timestamps and calculate the median first-reply time per channel. Second, mark which of those enquiries arrived outside 10am to 7pm on a weekday; that is the share an always-on agent would have caught. Third, look at which channel has the worst reply time and the most enquiries. That is where to start.
AbroBot CRM is MNB's answer to this problem for businesses that want it done rather than explained: a chat agent on your website and WhatsApp that answers, captures and hands the lead to your phone in about a minute, on a flat monthly fee per business.
